Technology Environment Checklist

A quick way to see how much of your technology environment is documented, protected, and planned. Work through each item with the people who manage your systems today.

Accounts and security

  • Multi-factor authentication is enabled on email and administrative accounts
  • Every staff member has their own account — no shared logins
  • Access for departed employees is removed promptly across all systems
  • Administrative accounts are documented and reviewed

Data and recovery

  • Backups are configured and actively monitored
  • A recovery from backup has been tested within the last year
  • You know where your organization's critical data is stored
  • Retention requirements for records have been identified

Devices and network

  • A current inventory lists the devices you own and who uses them
  • Operating system and application updates are applied on a schedule
  • Endpoint protection is installed and managed on workstations
  • Network equipment, cabling, and Wi-Fi are documented

Vendors and planning

  • A vendor list identifies who supports each system and how to reach them
  • Internet provider and contract details are documented
  • Aging equipment has a replacement plan before it fails
  • A technology review happens at least once a year

Self-Check

Is It Time for Managed IT?

Ten yes-or-no questions. Answer honestly — this is for your own planning, and nothing is collected or submitted.

  • Is multi-factor authentication enabled on all staff email and administrative accounts?
  • Are your backups configured and monitored — and has a recovery actually been tested in the last year?
  • Do you have a current inventory of the devices your organization owns and who uses them?
  • When an employee leaves, is their access removed promptly across every system?
  • Are operating system and application updates applied on a regular schedule?
  • Is your network, cabling, and account setup documented somewhere other than one person's memory?
  • Do you know which vendor supports each of your systems — and who to call when something fails?
  • Do new employees receive working accounts and equipment on their first day?
  • Does someone review your security settings and administrative accounts at least annually?
  • Do you have a plan for replacing aging equipment before it fails?

Answering “no” more than two or three times?

That usually means informal IT support is reaching its limit. Managed IT replaces fragmented support with defined responsibility, documented systems, and an accountable service process.
